Client relationships are crucial to the team and you will be responsible for maintaining that relationship. Strong oral and written communication skills are essential to this position.
As a real estate team, we have two customers: our clients who are buying/selling/leasing properties and the agents on our team. The successful candidate will be responsible for supporting our team members, and clients in the pursuit of their dream home.
A successful candidate must have strong organizational skills as this is a fast-paced environment with changing priorities and deadlines. This position involves a lot of follow-ups and coordinating between different parties. Accuracy and attention to detail are key to this position.
Attitude is the final pillar of this position: We are looking for someone who maintains a can-do, it is my pleasure attitude at all times. The successful candidate must be always willing to learn new things and have a willingness to pitch in, help, and take on other responsibilities as assigned/needed.
Your responsibilities will include:
- Crafting, revising, and facilitating digital signatures for all transaction-related documents, including but not limited to leases, offers, and listings.
- Developing and maintaining comprehensive listings for our agents, complete with all pertinent details, photographs, dimensions, and virtual tours.
- Overseeing our agent tracking systems, encompassing deal tracking, goal setting, and lead management.
- Managing all incoming communications, including calls, emails, and texts, from both team members and clients.
- Directing all client communications, ranging from newsletters and flyers to personalised correspondence for anniversaries, birthdays, and other significant occasions.
- Updating and managing our client databases and lists.
- Scheduling and coordinating appointments for our clients and agents, ensuring all necessary information is provided.
- Curating and dispatching client gifts, as well as referral and thank-you presents for both clients and agents.
- Ensuring timely follow-ups with agents and clients to gather all requisite information and documentation for active transactions.
- Producing, delivering, and retrieving all marketing materials for listings.
- Compiling and dispatching client reports to sellers, offering insights into feedback, marketing strategies, and more.
- Upholding an unwaveringly positive and proactive attitude in every interaction and task.
- Undertaking additional duties as required.
